Responsibilities

Summary

Under supervision of the Manager, Medical Staff Services, the Medical Staff Assistant is responsible for numerous medical staff services functions including, but not limited to, the following:

  • Maintaining credentialing databases and spreadsheets, as well as the Sharp Intranet Medical Staff website
  • Assisting Medical Staff Coordinators with credentialing of practitioners and related tasks including primary source verifications, file audits, monthly file closeouts, communications to practitioners, and roster generation
  • Facilitating Emergency Room Call Panels
  • Composing correspondence, memos, presentations, flyer, spreadsheets, and other documents as requested. Drafting complex documents from abstract ideas and general information
  • Researching and gathering data from various sources and generates special projects/reports/summaries. Report generation may involve analyzing statistics and preparing spreadsheets, databases, or other documents
  • Greeting, welcoming, communicating effectively and courteously with a variety of customers by telephone, email, and in person (patients, visitors, staff, peers, physicians, executives, Board members, community leaders, etc.)
  • Answering phones, transferring calls, and focusing on service recovery. Responding to all inquiries with a timeliness that promotes customer satisfaction.
  • Functioning as resource person within department and to other administrative staff and the leadership team
  • Facilitating Medical Staff committee meetings and taking minutes; scheduling meetings.
  • Working collaboratively with fellow team members
  • Other duties as assigned

Location

This position is located in La Mesa, San Diego County

Hours

Part time .5 day shift, 8:00am - 4:30pm

Note that this is a part-time, on-site position and we are seeking candidates who are interested in a long-term, part-time role in our department.

Required Skills and Qualifications

  • Minimum of two (2) years’ experience in healthcare environment, including experience communicating with varying levels of personnel both verbally and in writing, and working in a confidential environment
  • Basic knowledge of medical terminology
  • Knowledge of Microsoft products including Excel and Word
  • Database management proficiency required; data entry skills required
  • Detail-oriented and understands data system organization
  • Possess strong computational and data analytical skills 
  • Customer service oriented; able to interact with physician leadership, staff, and external organizations, including health plans, regulatory agencies, and licensing boards
  • Strong communication skills (both written and verbal) 
  • Ability to exercise independent critical-thinking and problem-solving skills
  • Ability to maintain a high level of confidentiality
  • Ability to handle stressful situations in a calm, rational manner
  • Ability to prioritize deadline-oriented tasks and handle multiple tasks simultaneously

 

Preferred Skills and Qualifications

  • High school diploma or GED equivalency
  • Bachelor’s degree
  • Minimum one year of experience related to credentialing or medical staff operations
  • Knowledge of Medical Staff Bylaws, TJC standards, and Title 22
  • NAMSS Certified Provider Credentialing Specialist (CPCS) certification
