Under supervision of the Manager, Medical Staff Services, the Medical Staff Coordinator is responsible for initiating, coordinating, monitoring, and completing tasks in a timely manner related to practitioner credentialing within an acute care hospital environment.

Duties include, but are not limited to, the following:

Maintenance of credentialing databases

Coordination with the Sharp internal CVO for submission and completion of initial applications and reappointments

Analysis and judgment of credentialing files and related processes

Credentialing-related tasks such as file audits, monthly file closeouts, and communications to practitioners

Frequent communication with internal CVO, practitioners, department colleagues, department chairs, chiefs of staff, administrators, and more related to credentialing applications, privileges, and more

Facilitation of monthly credentialing file reviews with department and committee chairs, and accurate and timely preparation of files for monthly credentialing committees

Organization of workflow based on department and health system priorities and proactive communication and problem-solving to ensure a smooth, timely, and service-oriented credentialing experience

Maintenance of database to ensure information is accurate and current

Facilitation of Medical Staff committees, which includes scheduling, meeting minutes, and follow up

Facilitation of proctoring, FPPE, and OPPE processes

Generation of reports and analyzation of statistics

Greeting, welcoming, communicating effectively and courteously with a variety of customers by telephone, email, and in person

Answering phones, transferring calls, and focusing on service recovery.

Collaboration with Manager, Medical Staff Services on credentialing standards, special projects, process improvement, and more

Collaboration with fellow team members

Adherence to federal, state, and local statutes and legal requirements, as well as The Joint Commission, Medical Staff, and Hospital standards

Other duties as assigned or as needed to cover for fellow staff members

This position is located in La Mesa, San Diego County


FT1.0, 8hr day shift

 Required Skills and Qualifications 

  • High school diploma or GED equivalency
  • Minimum of three (3) years’ experience in healthcare environment, including experience with meeting coordination and minutes, communicating with varying levels of personnel both verbally and in writing, and working in a confidential environment
  • Basic knowledge of medical terminology
  • Knowledge of Microsoft products including Excel and Word
  • Database management and data entry proficiency
  • Detail-oriented and understanding of data system organization
  • Strong computational and data analytical skills. 
  • Customer service excellence; ability to interact with physician leadership, staff, and external organizations, including health plans, regulatory agencies, and licensing boards
  • Strong and effective communication skills (both written and verbal) 
  • Ability to exercise independent critical-thinking and problem-solving skills 
  • Ability to maintain a high level of confidentiality
  • Ability to handle stressful situations in a calm, rational manner
  • Ability to prioritize deadline-oriented tasks and handle multiple tasks simultaneously

Preferred Skills and Qualifications 

  • Bachelor’s degree
  • Three years’ experience related to credentialing or medical staff operations
  • Experience with practitioner databases
  • Knowledge of Medical Staff Bylaws, TJC standards, and Title 22
  • NAMSS Certified Provider Credentialing Specialist (CPCS) or CPMSM certification
