Under the direction of the VP/CFO, the Administrative Assistant will perform advanced administrative and executive support functions for the VP/CFO and the SRS Finance Department.   Serves as the contact person for the SRS Finance Department.  Interacts regularly with SRS executives, System office personnel, Medical Group leaders such as the President, Chief Medical Officer, Department Chairs, Division Chiefs, and external parties. 

Creates and distributes accurate mail-merged payroll, productivity, and utilization reports for distribution to all employed physicians and advanced practice providers (APPs) throughout the Medical Group in an accurate and timely manner.  In conjunction with SRS Supply Chain Services, coordinates Capital Expenditure Requests (“CERs”) from all SRS leaders and proactively ensures the approval process continues through completion. Maintains the departmental master contract index and copies of all executed contracts (excluding payer contracts). Records and transcribes meeting minutes in an accurate manner and disseminates them at or prior to monthly meetings. Assists with completion of Verification of Employment (“VOEs”) responses.  Develops high quality presentation materials and maintains archives for future use and updates.

This position is located in the SRS Copley Building, San Diego County


FT 1.0, 8hr day shift: 8:00am – 5:00pm 

 Required Skills and Qualifications

  • Three to five years minimum administrative assistant experience at an executive level
  • Demonstrates strong proficiency with Microsoft Office, including Excel, Word, and PowerPoint, as well as Adobe Acobat PDF
  • Expert proficiency in Microsoft Outlook, including calendaring functions
  • Strong proficiency in videoconferencing software, such as Teams and Zoom
  • Strong analytical, problem-solving, and organizational skills with a strong attention to detail
  • Excellent organizational and interpersonal skills and ability to manage multiple priorities/deadlines
  • Excellent written and verbal communication skills, including the ability to communicate in a clear and organized manner, with proper use of grammar and spelling
  • Ability to create and distribute reports to 500+ physicians and other providers
  • Meeting administration experience such as scheduling, agenda preparation, material preparation, minutes, and special reports as needed
  • Strong problem-solving skills, including independent judgment
  • Maintains strict confidentiality of material and information handled    

Preferred Skills and Qualifications

  • Associate or Bachelor’s Degree, or equivalent experience
