What You Will Do
Represents the Human Resources Division at the entity. Provides all levels of the organization with information related to Human Resources Operations. Administers data and programs related to employee transactions. Provides consultation, education, and guidance to all employees regarding system-wide Human Resources processes and programs provided at the system and/or entity level.

Required Qualifications

  • 3 Years Experience in human resources operations, personnel/payroll systems, or office administration


Preferred Qualifications

  • H.S. Diploma or Equivalent
  • Associate's Degree


Other Qualification Requirements

  • Human Resource Certificate preferred.


Essential Functions

  • Customer service
    Provides high level understanding of employee relations concepts to assess the appropriate resources (e.g. Human Resources policies and procedures, Employee Handbook; Bargaining Unit Contract, etc.)
    Uses analytical skills to do assessment at point of contact to determine appropriate delegation e.g. handle personally, refer to generalist, or manager/director.
    Uses critical thinking skills to prioritize situations to ensure positive and timely customer interactions.
  • Data integrity
    Develops expert knowledge of Lawson employee database and serves as the primary technical resource for the Human Resource Division.
    Accurately enters data into the electronic employee data base.
    Confirms accuracy by auditing Personal Action Forms (PAF) and other quality assurance audit tools.
    Follows established data input deadlines.
    Utilizes critical thinking skills to analyze and apply appropriate level of knowledge to process complex transactions. Appropriately uses internal resources when questions/problems arise.
    Provides research and follow-up services through collaboration with divisional departments (e.g. Payroll, HRIS, Compensation, Benefits, etc.)
    Assures that the appropriate preparation and the data integrity process occurs to maintain the annual data quality goal.
  • Employee benefit administration
    Serves as primary entity contact for employees and management regarding eligibility, enrollment and problem resolution.
    Tracks benefit eligibility; sends out benefit packets; and benefit related communications such as default notices.
    Educates newly eligible employees regarding SHC benefits and enrollment processes.
    Obtains enrollment forms, verifies accuracy of information and enters information into Lawson according to monthly timelines.
    Assists Corporate Benefits staff with special requests such as LTD claims; open enrollment; SharpSaver.
  • Information management
    Analyzes, verifies and ensures accuracy of all data sent to Human Resources, including editing/auditing for accuracy.
    Serves as primary contact to inquiries regarding current/new Human Resource policies, procedures and practices.
    Collaborates with appropriate resources to ensure that the customer receives the information within 24 hours of the request.
    Assures documentation is submitted timely and information is relayed to the appropriate departments (e.g. accrual reinstatements, COBRA notifications, retroactive payments)
  • Leave of Absence (LOA) Administration
    Serves as primary contact for entity administration of the leave of absence process. Understands and effectively communicates the (LOA) policies and procedures.
    Understands the laws governing leaves of absence. Maintains a expert knowledge of the Family Medical Leave Act (FMLA), the California Fair Employment and Housing Act (FEHA), and the Paid Family Leave Program (PFL).
    Monitors status of current LOA's to ensure compliance with Sharp HealthCare's policies and legal regulations.
    Sends out communication pieces to employees as appropriate, e.g. 30 day letters, termination letters, requests for medical certifications
    Follows-up with manager and/or employee regarding missing documentation, e.g. request form, electronic form, or medical certification.
    Responsible to resolve customer service issues within a timely manner; employee relations inquiries are documented for Human Resource Manager Review.
  • New hire and termination administration
    Administers new employee hire process ensuring compliance to meet all regulatory and internal requirements.
    Ensures that the new employees experience a positive introduction to Sharp HealthCare.
    Coordinates with the appropriate departments to assure timely employment processing.
    Coordinates with management the termination process to ensure that appropriate and timely documentation is received.
    Communicates and coordinates with CAHHS to ensure timely responses for unemployment claims.


Knowledge, Skills, and Abilities

  • General knowledge and experience of all aspects of Human Resources Operations to include interaction and assistance to management and employee on topics including administration of personnel system transactions, knowledge of payroll processing, employee benefits, system-based recruitment, compensation, employee relations, and labor contracts.
  • General knowledge of current legal issues impacting the workplace and policy interpretation.
  • Strong interpersonal skills, communication skills and assisting all levels of the organization.
  • Demonstrated ability to exercise sound judgment, attention to detail and accuracy.
  • Must have ability to communicate clearly and effectively via telephone, email, and in person.
  • Ability to multi-task and prioritize.
