What You Will Do
To provide operational support for the Recruitment Department, employees, management and outside applicants by delivering a high level of customer care as well as timely and accurate information with the recruitment and on-boarding process.

Required Qualifications
  • H.S. Diploma or Equivalent
  • Experience in working with an electronic applicant tracking system.
  • Experience in a fast paced, customer oriented environment, such as operations, administrative support, customer service, healthcare, retail, hospitality, staffing, recruiting, human resources or other related field.

Preferred Qualifications
  • Associate's Degree Equivalent work experience.
  • Experience in working with Lawson.
  • Experience with Applicant Tracking Systems or other tracking and reporting systems like Oracle’s Taleo.
  • Associate Professional in Human Resources (aPHR) - HR Certification Institute -PREFERRED
  • California Certification in Human Resources (PHR-CA/SPHR-CA) - HR Certification Institute -PREFERRED
  • Global Professional in Human Resources (GPHR) - HR Certification Institute -PREFERRED
  • Professional in Human Resources (PHR) - HR Certification Institute -PREFERRED
  • SHRM Certified Professional (SHRM-CP) - Society for Human Resources Management (SHRM) -PREFERRED
  • SHRM Senior Certified Professional (SHRM-SCP) - Society for Human Resources Management (SHRM) -PREFERRED
  • Senior Professional in Human Resources (SPHR) - HR Certification Institute -PREFERRED

Essential Functions
  • Administrative support
    Develops and maintains a working knowledge of all pertinent Sharp HealthCare Human Resources policies/procedures and practices as well as all Recruitment policies/procedures and practices.
    Prioritizes all work and meets necessary deadlines to maintain an appropriate level of support for their Recruiters, Recruiting Assistants, department leadership and the department as a whole.
    Assembles promotional materials for applicants, gathers and stows supplies for job fairs.
    Follows up with hiring managers and/or applicants as requested
    Assists with or compiles special requests at the direction of the Recruiter(s).
  • Applicant information
    Obtains all necessary paperwork, communicates issues as appropriate with other Recruiting Assistants, Recruiters, applicants, hiring managers and department leadership which include: delays in processing and/or updating position information, higher than expected new position volume, significant backlog of position information needing to be processed, questionable duplicate position information, etc.
    Documents issues as appropriate within the applicant tracking system and using sound judgment in determining the most appropriate course of action to ensure the position database is as accurate as possible.
  • Collaboration and teamwork
    Meets all deadlines in order to maintain an appropriate level of support for the Recruiters, fellow Recruiting Assistants, department leadership, hiring managers, applicants and other customers.
    Provides consistent, accurate and thorough communications with the appropriate individuals.
    Collaborates with appropriate resources to ensure intended results are implemented.
    Able to troubleshoot and resolve minor issues among the team without intervention.
    Develops the means to manage heavy work load during peak applicant/reference check/job posting periods; work together on department wide tasks as assigned; maintains process consistency across all areas of responsibility.
    Develops a thorough understanding of the applicant tracking system.
    Escalates any issues and proposed process changes within guidelines and/or as appropriate.
  • Department support
    Develops and maintains a working knowledge of all pertinent Sharp HealthCare Human Resources policies/procedures and practices as well as all Recruitment policies/procedures and practices.
    Answers and triages incoming phone calls and e-mails to the Recruitment department, including questions from applicants regarding employment with Sharp and/or application status; as requested provides answers to general inquiries.
    Serves as a resource to Recruiters, employees and external applicants on employment opportunities and Recruitment practices by providing accurate information as well as a high level of customer service.
    Updates and maintains records relating other Recruitment activities at the direction of department leadership, their Recruiter client group, etc.
    Completes and submits regularly scheduled reports by following established policies, procedures and practices. Also provides ad hoc reports and information within a timely fashion.
    Manages, maintains and completes special assignments as specified (ex. giveaway inventory, storage room maintenance, office supplies inventory file archiving, etc.).
    Works collaboratively with others on projects as assigned and fulfills any responsibilities given to them as a result.
    Attends and participates in departmental meetings as appropriate.
  • Reference check requests
    Accurately documents Reference Process in applicant tracking system.
    Understands and documents appropriately in Reference Electronic software.
    Obtains all necessary paperwork, follows up on previous reference check attempts and communicates reference check status as appropriate with applicants, hiring managers and Recruiters per department guidelines.
    Communicates issues as appropriate with other Recruiting Assistants, Recruiters, applicants, hiring managers and department leadership as appropriate including but not limited to: delays in completing reference check requests, higher than expected reference check request volume, significant backlog in reference check requests, questionable or non-professional reference information sources, internal non-compliance with established department guidelines, etc.
  • Job Requisition Management
    Documents issues, as appropriate, within the applicant tracking system and using sound judgment in determining the most appropriate course of action to ensure the applicant database is as accurate as possible.
    Meets or exceeds all established processing guidelines including: communicating with other Recruiting Assistants, Recruiters, applicants, hiring managers and department leadership as appropriate regarding issues including: delays in processing and/or updating applicant information, higher than expected applicant volume, significant backlog of applicant information needing to be processed, questionable duplicate applicant information, etc.
  • On-boarding Process
    Accurately documents On-boarding process in applicant tracking system.
    Accurately performs the following duties: Initiation and submittal of Offer Letters, Initiates back ground checks, scheduling of EOHD, new hire process in Lawson, completes post offer checks, and schedules new employee for New Employee Orientation.
    Meets with new employees to review new hire paperwork.
    Performs license verifications as necessary.
    Communicates issues as appropriate with Recruiters and site HR Operations in the on-boarding process.

Knowledge, Skills, and Abilities
  • Must demonstrate the ability to communicate effectively in both written and verbal means, is able to follow instructions and applies the best response to multiple-choice situations with critical thinking, has strong organizational skills and the ability to multi-task.
  • Proficient with Microsoft Office Excel, Word Outlook, and PowerPoint is required.
  • Excellent verbal and written communication. Excellent customer service skills with an emphasis on tact and confidentiality.
  • Problem solver, able to troubleshoot issues and drive them to closure.
  • A prominent ability to speak in front of and present to large groups.
  • Organizational skills with attention to detail, ability to prioritize and work in an environment with competing demands.
  • Roll-up-your-sleeves attitude with a sense of urgency, and a friendly, diplomatic demeanor.
