Hourly Pay Range (Minimum - Midpoint - Maximum):

$33.090 - $42.697 - $52.303

What You Will Do
Responsible for the operational management of the Sharp Mary Birch Women's Outpatient Center. Assumes responsibility for ensuring or supporting the delivery of quality patient care to the satisfaction of patients, physicians and staff. Remains abreast of financial and growth goals for the Women's Center and plans for continued improvement in operating and financial performance. Oversees daily operations and clinical care/service, ensuring compliance with established organizational and regulatory standards including those related to staffing, quality, confidentiality and medical record documentation. Provides direct supervision to staff and ensures staff is working within their scope of practice. Provides direct patient care within Scope of Practice. Scope of role includes: department operational coordination, quality controls and improvements, regulatory compliance, sets implementation of standards, procedures and policies, evaluation of best use of resources, internal and external customer satisfaction, and professional development of staff.

Required Qualifications
  • H.S. Diploma or Equivalent
  • Other : Certification of completion of a Medical Assistant Program.
  • 5 Years experience in medical office supervision.
  • 1 Year clinical experience as a medical assistant, LVN, CNA, or related.

Essential Functions
  • Communication
    Excellent verbal and written communication skills.
    Facilitates communications among physicians, staff, and administration.
    Convenes meetings, distributes and explains memoranda, and schedules in-services as necessary.
    Establishes and implements, communicates and enforces policies and procedures that address daily operations of the practice.
  • Productivity and Finance
    Works closely with physician and staff to make practice more efficient and effective through application of practice management analysis.
    Assesses methods and processes and recommends ways to improve efficiency and effectiveness.
    Ensures practice has properly trained staff in sufficient numbers to always provide effective and efficient staff coverage, including back up plans for sick leave and vacation.
    Accountable to follow annual financial plan in staffing and supply inventory management.
  • Leadership
    Supports leadership and organizational strategic plan direction. Participates in the implementation of Sharp Mary Birch’s strategic plan.
    Actively works to achieve patient service and dashboard goals and objectives; directs staff to achieve the same.
    Supports and holds staff accountable to work standards and processes.
    Establishes supervisorial climate that encourages teamwork and promotes collegial collaboration among all team members.
    Participates as a leader or member of various committees as directed by leadership.
    Maintains positive working relationships with the community, medical staff, and all levels of supervision and staff and mediates conflict.
    Strives for continual self-improvement through professional growth and development.
  • Quality and Service
    Works with Sharp Mary Birch resources, using process improvement methods (Lean) to better meet patient needs.
    Assists with the development and revision of goals, policies, procedures or practice guidelines.
    Monitors and addresses potential risk management and quality issues in a timely manner.
    Addresses patient/customer complaints in an effective and timely manner.
    Maintains standards of service, productivity, safety, security, and regulatory compliance.
    Ensure computer systems and Electronic Medical Record optimization.
    Provides training and annual mandatory education, including compliance, safety, workplace issues.
    Assists with the development, implementation and evaluation of patient satisfaction improvement programs by reviewing and including Press Ganey scores and interventions in their weekly/monthly staff meetings. Sustain knowledge of Press Ganey software by scheduling refresher trainings.
    Coordinates quality initiatives. Participate in initiatives to achieve performance on quality metrics.
    Oversees Quality and Performance Improvement activities.
  • Human Resource Management
    Assists staff to resolve identified learning needs and completes the coaching and counseling process.
    Ensures that staff members are effectively oriented to new roles.
    Completes interviewing, hiring, orientation and training of new staff.
    Collaborates in staff evaluation process with physician(s). Conducts performance review and annual evaluations.
    Provides administrative supervision of staff (e.g., attendance, tardiness, overtime, vacation scheduling, etc.). Reviews timecards, ensures compliance with policy.
    Identifies the need for and assists others to complete work related activities and projects to accomplish prioritized goals.
    Provides other department support as needed.

Knowledge, Skills, and Abilities
  • Strong operations and leadership skills required.
  • Human resources and financial, management processes and procedures required to effectively plan, organize and coordinate ambulatory care.
  • Organizational and planning techniques used to manage assigned areas.
  • Knowledge of medical terminology, clinical and administrative procedures, equipment, and facilities.
  • Knowledge of Federal, state, and local laws, ordinances, rules, and regulations relating to the management and operations of physician practices.
  • Ability to demonstrate diplomacy in communication and conflict resolution techniques.
