$25.550 - $31.860 - $35.680The stated pay scale reflects the range that Sharp reasonably expects to pay for this position. The actual pay rate and pay grade for this position will be dependent on a variety of factors, including an applicant’s years of experience, unique skills and abilities, education, alignment with similar internal candidates, marketplace factors, other requirements for the position, and employer business practices.
What You Will Do
The Surgical Support Specialist is responsible for scheduling and coordinating surgery, pre-op related appointments, post-op appointments, obtaining all necessary referrals/authorizations. Assist surgeons with ensuring all necessary medical records, labs and radiology results and films are available. Serves as contact person for patients, physicians, surgeons, PAAES, UR, and financial services to ensure all established goals are met. Provides a high level of customer service in a manner consistent with SRS mission and goals.
Required Qualifications
- H.S. Diploma or Equivalent
- 3 Years medical office and/or business office experience on procedure scheduling, financial screening and/or coding surgeries.
Preferred Qualifications
- Experience in the relative department.
- Certified Medical Assistant (CMA) - California Certifying Board for Medical Assistants -PREFERRED
- California Licensed Vocational Nurse (LVN) - CA Board of Vocational Nursing & Psychiatric Technicians -PREFERRED
Essential Functions
- Authorizations
Obtains surgical HMO insurance authorization for HMO patients through SRS Utilization Management.
Obtains surgical PPO insurance authorizations.
Obtains pre-authorization for all non-HMO patients as needed.
Coordinates with Sharp hospitals and ambulatory surgery centers for hospital based authorizations.
Identifies and documents when an authorization is needed. Monitors all authorizations that may need extension.
Ensures referral authorization is obtained online for patients. - Account Management
Monitors all accounts to ensure financial eligibility criteria are met.
Advises patient of responsibility. - Clinic Operations
As a Key User, makes appropriate daily physician schedule changes.
Schedules patients' clinical appointments following appropriate provider guidelines.
Adjusts the clinic schedule as needed to meet department Access goals.
Collaborates with providers and team to optimize the physician's schedule to meet access guidelines. - Surgery Scheduling
Schedules surgeries for multiple surgeons according to guidelines; coordinating surgeon, assist, surgery location and appropriate support personnel and required equipment. Ensures scheduling with various departments is completed and supporting documents are sent to respective locations.
Maintains calendar and provides all clerical support for physician. Arranges time with assisting physician when needed.
Performs surgery scheduling for any department physician and takes over in absence of designated scheduler.
Maintains clear communication to keep team members, patients and family members informed about the process and expected time frames.
Maintains the scheduling calendar daily. Accurately documents surgeries in surgery book, EHR and outlook calendar.
Schedules and communicates to patient their surgery date and time. Arranges all necessary pre-operative appointments, screenings, labs or other necessary studies and NPO instructions. Coordinates pre-anesthesia (PAAES) and pre-operative endeavors with surgeon's office. Ensures all questions are answered and the patient understands the plan.
Obtains necessary referrals for consultation appointments.
Coordinates date and time for surgeries between the patient, hospital, and the physician working directly with the offsite surgeon's office as needed.
Reschedules patients as needed to accommodate schedules.
Enters any changes in EHR as necessary.
Schedules post-operative appointments with provider. - Other Duties
Other duties as assigned based on business needs.
Act as a mentor to new department staff or floats.
Knowledge, Skills, and Abilities
- Computer skills including database management, word processing, IDX and OCM.
- Medical Terminology knowledge required.
- Demonstrates advanced key user skills in relation to physician schedules, such as building templates, adjusting schedules and running rescheduling lists.
